Intake Coordinator Job Opportunity

Full-Time Position (One-Year Contract)

Reporting to the Clinical Manager, you will provide administrative coordination to support a centralized referral system. You will work with a team of professionals dedicated to providing the highest standard of care. This is your chance to continue to contribute to a great organization.

Job Summary

  • First point of contact for all inquiries; in person, email and telephone;
  • Communicate with the general public, families, and referring sources to respond to inquiries;
  • Required to independently assess and evaluate need for services and make recommendations for additional services as appropriate;
  • Manage, organize and track all incoming referrals and intake communications;
  • Receive and assess the appropriateness of requests for service using criteria provided by Boomerang Health team leads, and in consultation with members of the clinical team;
  • Create and maintain confidential patient records in Electronic Medical Record (EMR) system, containing all consent forms, test results and relevant documentation;
  • Secure and coordinate necessary supporting demographic and health documentation, following all privacy rules and regulations;
  • Manage the appointment and wait times for services within the clinic;
  • Make recommendations for improving processes and systems;
  • Data entry and management of the referral tracking systems;
  • Undertake small projects/assignments as requested;
  • Participate in off-site events;
  • Redirect less appropriate cases to other agencies, hospitals or clinics and assist in finding alternative resources in the community;
  • Work with the physician administrative support team to enter and track data in the  MOH-mandated database, prepare monthly statistical and annual reports;
  • Responsible for coordinating accounts receivables and placing bank deposits; and
  • Other duties as assigned.


  • Minimum of 5 years of experience in medical administrative/assistant role – community hospital or healthcare clinic experience is preferred;
  • Completion of the Certificate of Medical Office Administration is a strong asset;
  • Accounting knowledge and experience is a strong asset; and
  • Experience in using an electronic medical record system.


  • Highly developed administrative and organizational skills with the ability to handle multiple priorities, work under pressure and meet strict deadlines;
  • A self-starter willing to take initiative, with proven problem-solving and critical thinking abilities, managing effectively in a dynamic, changing environment;
  • Excellent time management skills and attention to detail;
  • Ability to comprehend and act on complex and sensitive matters with professional tact, diplomacy, and confidentiality;
  • Exceptional interpersonal skills with children and families;
  • Superb ability to collaborate with colleagues and peers;
  • Desire and ability to take on new and added responsibilities;
  • Strong communication and grammar skills, both verbal and written;
  • Proficiency in the use of computer hardware and software, particularly in Microsoft Word, Excel, PowerPoint and Outlook; and
  • Knowledge of medical terminology is an asset
